Schedule/Hours: Flexible to work a shift to cover the standard hours of operation of 7:00am – 6:00pm, CST; Monday - Friday
Job Overview:
The HR & Payroll Employee Service Representative plays a vital role as they serve as the primary contact for employees, managers, HR, internal and external business partners as well as other third party entities by handling customer inquiries related to human resources in general across areas of payroll, leave of absence, benefits, performance management, HR policies, HR systems and more.
Job Description:

  • Flexible to work a shift to cover the standard hours of operation of 7:00am – 6:00pm, CST; Monday - Friday.
  • Provides quality customer service in response to inquiries made via phone or e-mail from Employees, Managers, HR, Internal Business Partners as well as External Business Contacts. Performs outbound calls to employees, managers, HR or other business contacts.
  • Remain focused, professional, tactful and discrete when handling sensitive and/or confidential information.
  • Provides accurate information over the phone or via email to employees.
  • Communicate effectively in both oral and written form, handles inquiries from customers accurately and timely, meeting service level agreements including first call resolution.
  • Works efficiently to resolve and close cases with detailed and clear written explanations timely without case aging.
  • Accurately and timely logs-in all cases received via phone or e-mail into the case management system and provides backup documentation needed for audit purposes.
  • Uses procedures, policies, knowledge database and other reference materials to assist in answering inquiries.
  • Follows standard procedures and scripts, uses FAQs, scripts and knowledge to assist employees with inquiries.
  • Collects and validates complete data required to process manual employee personal and organizational transactions and escalates if assistance is needed.
  • Creates and documents processes into Desktop Procedures (DTPs), FAQs, and scripts.
  • Participates in pre and post implementation activities, including Service Rehearsal Testing and User Acceptance Testing.
  • Participates in continuous improvement workshops and projects.
  • Shares knowledge to peers.
  • Is punctual and on-time based on Contact Center hours of operation.
  • Other responsibilities, as assigned.

Job Qualifications:  

  • Payroll / HR Knowledge
  • Resolve call or email inquiry from employee that requires review of Workday timesheets for; days/hours worked and timecodes entered, accuracy of timesheet data entries, timeliness of time entry and calculation of payroll adjustments as necessary.
  • Resolve call or email inquiry from employee that requires research and analysis of Workday time entry, time off, leave of absence or payroll discrepancies and processes appropriate corrections.
  • Resolve call or email inquiry from employee that requires understanding and explanation of employee paycheck: gross pay, net pay, taxes, deductions etc.
  • Resolve call or email inquiry from employee that requires understanding and explanation of employee W2, W4, Short Term and Long Term Incentives.
  • Apply AIG payroll policies based on employee location, company code, state guidelines and provide resolution to employee to resolve inquiries via call or email.
  • Provide direction to vendors regarding pay impact resolutions including the creation or validation of payroll update forms.
  • Provide resolution to employee via voice or email on complex issues that affect an employee’s pay and require a payroll solution.
  • Research, analyze and retrieve data to prepare complex HR or payroll resolutions and communications to employee issues.
  • Perform mathematical computations quickly and accurately to identify errors.
